Passenger Count and Luggage Mistakes to Avoid

Common booking errors that force last-minute van changes—and how to request capacity that matches your real group.

← Back to blog

Under-counting passengers is the classic booking mistake. The second is forgetting luggage volume. Together they create day-of stress that careful requests can avoid.

Count everyone who needs a seat

Include kids, helpers, and last-minute relatives who “might join.” If someone is uncertain, note the range in the booking comments. It is easier to right-size during review than to discover a shortfall at pick-up.

Luggage has a footprint

Airport runs with check-in bags, market days with pasalubong, and band or team gear all change what “fits.” Soft bags compress; hard cases and coolers do not. If in doubt, describe bag count and odd items in notes.

Mistakes we see often

  • Booking for seated adults only and omitting toddlers.
  • Ignoring shopping or sports equipment until curb time.
  • Assuming a van’s marketed seat count ignores cargo.
  • Splitting the group across cars without saying so.
  • Changing headcount after confirmation without an update.

How to correct course

If your headcount changes after you submit, contact the team promptly with the new numbers. During review—or after confirmation—ops can re-check van assignment against capacity and schedule.

Start with an honest passenger count on the booking page. A clean request is faster to confirm than a polite underestimate.
